Work With Tasks

Tasks are your personal attention list. They point to work that needs review or action, such as a work request, project, estimation, or approval. A task is not the workflow record itself: completing or dismissing it does not approve an estimate, change a request, or approve a cost entry.

Open Tasks from My Organization in the sidebar, or select its badge when you see one.

The Received tab shows tasks sent to you. The Sent tab shows tasks you sent to other people, including whether they have been opened.

At the top of the page, summary widgets help you prioritize:

Signal Meaning
Waiting on Me Requests assigned to you that are not complete.
Pending Approvals Open approval-type work requests.
Blocked Requests Requests currently marked as blocked.
Overdue Incomplete requests past their due date.

An unopened task is visually highlighted. That signal does not prevent you from taking action.

  1. Select a task in Received.
  2. Read its subject, sender, content, and status in the detail pane.
  3. Select Open to go to the linked record.
  4. Complete the work on that record, following its own workflow.

If a task has no valid destination, Darwin disables Open rather than sending you to a dead end.

Tasks marked Action Required expect a completion action. After you have handled the underlying work, select Complete. Use Dismiss for a task that no longer needs your attention. Informational tasks may be marked FYI instead.

Completing or dismissing a task changes only the task’s status. Return to the linked record when you need to change its workflow state.

Use the email-notification control in the Tasks header to manage your personal task-email preference.

Note: Pending Approvals here means approval-type work requests. It is different from the Pending Approvals tab in a project’s cost-tracking page, which contains pending cost entries.
